Job Description

“The Administrative Department is the backbone of the organization – they provide administrative support to ensure efficient operation of the center and company. Much more than just general office clerks, Administrative Assistants provide essential administrative support to the center and company. With their computer, communication and data entry skills, Administrative Assistants are able to assist with both complex and general administrative duties, allowing their supervisors more time to carry out their managerial tasks. The Administrative Assistant’s main responsibility is to assist with all administrative duties, ensure accuracy and timeliness, and delivered up to company’s standards.”

 

  1. Assist in staff attendance record; Assist with travel, meeting and training arrangements of staff; Assist in recprding accurate minutes of meeting
  2. Assist with facilities record
  3. Assist with managing center’s database; Ensure all student information are kept current and accurate
  4. Assist in appropriate use of company operations systems; Assist in suggesting system updates/improvements to improve efficiency
  5. Assist in maintaining class schedule; suggest to open/close classes based on student enrollment
  6. Assist with smooth coordination of new student registration, student replacement class, introductory class, trial class, Graduation Day
  7. Assist with office equipment and preventive maintenance requirements; evaluate and suggest new equipment and techniques
  8. Assist with managing inventory control of products and supplies
  9. Assist with center’s purchase needs and maintain center’s purchase records
  10. Assist in all customer payments; reconcile daily collections; maintain collection records
  11. Answer and direct phone calls; Greet and assist customers/visitors
  12. Assist in maintaining filing system; Assist with administrative support; Use Microsoft Office programs, simple design work and company’s management software to prepare company documents
  13. Assist with timely delivery of promotions, announcements, reminders, events, follow-up and thank you notes to customers via the appropriate communication channels
  14. Ensure compliance of procedures, scripts, guidelines and policies
  15. Assist with daily customer interactions and customer requests
  16. Ensure the front desk and reception area is clean, tidy and organized at all times
  17. Perform any other tasks as requested by the Supervisor/Manager
