Job Description

The Administrative Department is the backbone of the organization – they provide administrative support to ensure efficient operation of the center and company. Much more than just general office clerks, Administrators provide essential administrative support to the center and company. With their efficient computer, clerical and data entry skills, Administrators are able to support both complex and general administrative duties through a variety of tasks related to organization and communication. The Administrator’s main responsibility is to ensure all administrative duties are completed accurately, and delivered with high quality and in a timely manner.”


  1. Manage staff attendance record; Oversee travel, meeting and training arrangements of staff; Ensure accurate minutes of meeting are recorded
  2. Manage facilities record
  3. Manage and oversee center’s database; Ensure all student information are kept current and accurate
  4. Manage and oversee appropriate use of company operations systems; Suggest system updates/improvements to improve efficiency
  5. Update and maintain class schedule; suggest to open/close classes based on student enrollment
  6. Oversee and ensure smooth coordination of new student registration, student replacement class, introductory class, trial class, Graduation Day
  7. Oversee operation of office equipment and preventive maintenance requirements; evaluate and suggest new equipment and techniques
  8. Manage and maintain inventory control of products and supplies
  9. Manage center’s purchase needs and maintain center’s purchase records
  10. Manage all customer payments; reconcile daily collections; maintain collection records
  11. Answer and direct phone calls; Greet and assist customers/visitors
  12. Develop and manage filing system; Provide administrative support; Resolve administrative issues; Use Microsoft Office programs, simple design work and company’s management software to prepare company documents
  13. Manage timely delivery of promotions, announcements, reminders, events, follow-up and thank you notes to customers via the appropriate communication channels
  14. Ensure compliance of procedures, scripts, guidelines and policies
  15. Manage daily customer interactions and customer requests
  16. Ensure the front desk and reception area is clean, tidy and organized at all times
  17. Perform any other tasks as requested by the Supervisor/Manager
